Good Tips To Help You Backup Your PST File
Now, let’s see how you can do a backup of your PST file.
* Manually copy the PST file
To backup your PST file, an easy way is to copy that file to somewhere else. Here Repair PST File you will learn how to repair your PST file. Under Windows XP, this file is located at:
C:/Documents and Settings/%username%/Local Settings/Application Data/Microsoft/Outlook/
Under Win Vista or Win 7, the file is here:
C:/Users/%username%/AppData/Local/Microsoft/Outlook/
After that, just copy the file you will find at the previous location to: another folder, or another file, or some USB flash drive, or some external hard disk, or to a CD-ROM or DVD-ROM.
If you have to restore the data due to some system crash, then open Outlook and go to ‘File’ – ‘Data File Management’ and use the ‘Data File’ tab. Check here PST File Backup to learn how to backup pst file. Browse for your backup file and open it.
* To use the PST file from somewhere else
Normally when Windows crashes it is the files and folders on the C drive which get corrupted. So it is a good measure to move your PST file to a different drive and set the Outlook path for the data file to that drive. If you want to do that, first close your Outlook, move the PST file from the above default folder, start again Outlook the look for the new location when you see the prompt.
Rename your old Outlook file to something different (use a different file extension) so it will be easy to retrieve it if something is to happen to the relocated file.
* Import and Export
So with Outlook, you do have a feature that permits you to export your personal folders and to re-import them later if needed. With this method, you can export your PST file to a secure (and different) location on your hard drive. Then later, you can reimport it, in case, let’s say, of a system crash. To export your PST file, in Outlook go to ‘File’ – ‘Import and Export’. In the dialogue box that will come up, select ‘Export to a File’. In the following window, select ‘Personal Folder File (.pst)’. In the coming dialogue box, select the folders you want to export. Keep the ‘Include subfolders’ checkbox ticked to ensure that all your folders and subfolders are included in the exported file. In the next window that comes up, choose a filename for the exported file and browse for its new location.
To import your file from the backup, go to ‘File’ – ‘Import and Export’. From the Dialogue box then select ‘Import from another program or file’. The next step it to choose ‘Personal Folder File (.pst)’. Browse to the location of your backup file and import it. Doing so, all the configurations from your old file will be part of Outlook.
* PST file backup: using the add-in
Microsoft has provided a free Add-in for Outlook which allows you to backup your PST file at the click of a button. That add-in is called ‘Personal Folders Backup’, from Microsoft. You simply have to download and install it. On your ‘File’ menu, you will get a new option named ‘Backup’. With this nice add-in, you can backup the files and folders you really want to besides how many times and when (the frequency) of such backups.
